Tiny Teams System is a brand and business division of Wizard of HCM Private Limited. Wizard of HCM Private Limited determines why and how personal information collected through Tiny Teams System is used and is the data controller or Data Fiduciary where those terms apply.
Information and purposes
We limit collection to information needed to operate the site, confirm and deliver the field guide, receive operating-problem submissions, manage an optional newsletter, prevent abuse and respond to legal or cybersecurity requirements.
- Field-guide information: the name, work email, business type, operating problem, its current status, the approach you have tried, confirmation and owner-review status, and delivery record.
- Optional marketing choice: whether you separately asked to receive future Tiny Teams System Field Notes, plus the confirmation, unsubscribe and suppression record needed to honour that choice.
- Technical information: request metadata, email-delivery diagnostics and security logs generated by the hosting and email services.
Why we may process information
Depending on the law that applies, processing is based on your request that we receive or respond to an enquiry, compliance with legal duties and limited legitimate interests such as site security and the defence of legal claims.
Field guide and operating-problem submissions
After you submit the form, the information is stored for Pawan's personal review. No verification email is sent at this stage. If the problem describes a recurring founder dependency involving ownership, decisions, handoffs, records or exceptions, Pawan may approve it and Resend will email you a verification link. The field guide is sent only after you confirm the email address. A submission does not guarantee approval, a response or delivery. Any approved download link is time-limited and download-limited. Do not submit confidential client data, passwords, payment credentials, health information or other sensitive material. A problem may inform a future topic, but public content will not identify you or your business without separate permission.
Optional Field Notes
The Tiny Teams System Field Notes checkbox is optional and unticked by default. Selecting it does not subscribe you immediately. If your submission is approved and you confirm the address for the field guide, we send a separate marketing confirmation email. Field Notes begin only after that second confirmation. You may unsubscribe using the link in every marketing email, and choosing not to subscribe does not affect the review decision.
Cookies and analytics
The first release does not intentionally set non-essential advertising or analytics cookies. Essential hosting or security technologies may still operate to deliver and protect the site. This notice and any required consent choice must be updated before non-essential analytics are enabled.
Retention
- Email delivery, bounce and complaint events: retained for up to 1 year unless a suppression record or legal hold must be retained longer.
- Submissions waiting for personal review: retained for up to 30 days and up to 5 additional days for operational troubleshooting, then deleted if they were not approved.
- Approved but unconfirmed field-guide requests: retained for the 48-hour confirmation period and up to 5 additional days for delivery troubleshooting, then deleted.
- Confirmed submissions: retained for up to 12 months after the last exchange, then deleted or de-identified unless you ask us to delete sooner or a legal duty or dispute requires longer retention.
- Newsletter profiles: retained while subscribed. After unsubscribe, profile fields are removed within 30 days, while restricted consent and suppression proof may be retained for up to 3 years.
- Privacy or legal grievances: retained for up to 3 years after closure, subject to any binding requirement or legal hold.
- ICT and security logs: retained for the period and in the location required by applicable cybersecurity and data-protection law.
Service providers and international processing
We use Resend for email, OpenAI's ChatGPT Sites service for website hosting and database storage, and Cloudflare Turnstile to distinguish legitimate visitors from automated submissions. Turnstile processes browser and security signals; our verification request does not send Cloudflare the operating-problem text entered in the form. Each provider processes information needed to supply its service.
These providers may process information outside Maharashtra or India. We document their role and limit the information shared with each provider to what is needed to operate, protect and support the website.
Sharing
We share information with service providers only as needed for hosting, email, security and support; with professional advisers where necessary; with authorities where law requires or permits; or with another party with your consent. We do not sell contact enquiries.
Your choices and requests
Depending on the law that applies, you may ask for access, correction, deletion, restriction or a copy of personal information, object to certain processing, withdraw consent, or complain to the relevant regulator. Use the website form with the address connected to the record, begin your description with “Privacy request” and explain what you need. We may ask for proportionate verification before disclosing or changing a record. We aim to answer privacy grievances within 30 days and always within any shorter binding deadline. Limited information may remain for tax, cybersecurity, transaction integrity, suppression, legal claims or another binding requirement.
Security and incidents
We use access restrictions, server-side credentials and limited collection. No system is risk-free. The operating business will maintain an incident process for provider escalation, affected-user notice and regulatory reporting where required.
Children
The site is intended for business users aged 18 or older and is not directed to children. If we learn that a child supplied personal information, we will delete or restrict it unless retention is legally required.
